The factors that set the price
- Number of processes to cover in the first version
- Roles and permissions: who sees what, who approves what
- Integrations with the management system, WhatsApp, email or other software, and whether they have APIs
- Quality of the starting data: duplicate records, Excel files to clean up
- AI features and the volumes to process
Why quotes on the market are so different
For the same “custom management system” you get quotes from a few thousand to tens of thousands of euros. The difference is usually in the scope: a project that wants to cover everything from day one costs a lot and arrives late. We start from a reduced first version, live in a few weeks, and add features based on use.
Costs after launch
- Hosting and database: usually a few euros a month, registered to the company
- AI models: a few cents per document or message, only if used
- Third-party APIs, such as WhatsApp Business: according to the provider's price list
- Maintenance and further development: optional, with no mandatory fee
Custom software or a subscription?
A subscription program costs little at first and is paid for ever, often per user. Custom software costs more at the start and little afterwards. The comparison should be made over three years and on the time the team saves: if the ready-made program forces you to keep parallel Excel files, its actual cost is higher than the fee.
