Automation and artificial intelligence

Automation and artificial intelligence on your company's processes.

We connect the software you already use and hand the repetitive work to AI: reading orders and documents, updating the CRM, entering data into the management system. A person stays in control wherever a mistake is costly.

In brief

Liquid designs AI automations for Italian SMEs: the AI reads messages, emails and documents and enters the data into the software already in use, such as the management system and CRM. An automation on a single flow starts at €1,000 and is live in 2–4 weeks. Critical steps stay subject to human approval.

What we automate

  • Orders received on WhatsApp, email or phone, turned into orders in the management system
  • Delivery notes, invoices and PDFs read and recorded without retyping
  • CRM updates and sales follow-up reminders
  • Reminders, appointments and deadlines with customers
  • Periodic reports that someone currently puts together by hand
  • Synchronisation between programs that don't talk to each other

Where artificial intelligence really helps

AI is useful when information arrives written in a messy way: a WhatsApp message using nicknames for products, a delivery note laid out differently by every supplier, an email asking for a quote. There a language model does what a person does today: it reads, interprets, fills in.

When the data is already structured, you don't need AI: a classic integration between two programs is enough. We use AI only where it reduces work, not to put a label on the project.

How we assess a process

Three criteria: frequency, regularity, data format. An activity that repeats every day or every week, follows stable rules and receives information in written form, even messy, can almost always be automated at least in part.

For each process we estimate hours saved and running cost before proposing any work. If the return isn't clear, we tell you.

Human control

Where a mistake has a cost, the system prepares the work and a person approves it. Exceptions are flagged, not ignored: an unrecognised product, insufficient stock, a customer missing from the records. That keeps the automation reliable even when the incoming data is imperfect.

Make, n8n or dedicated code

When tools like Make, Zapier or n8n are enough, we use them: they're cheap and easy to maintain. For critical flows, high volumes or company-specific logic we write dedicated code. The choice depends on the process, not on our preference.

No change of habits for your customers

If customers order on WhatsApp, they keep doing so. If suppliers send PDFs, they keep sending them. The automation steps in on what happens afterwards, inside the company.

Data, security and the AI Act

We use models through APIs under terms that exclude training on the customer's data. Accounts are registered to the company. Together we define which data is processed and by whom, and we prepare the documentation needed for GDPR and the AI Act.

For owners who want to know where to start

If the company doesn't yet have a specific process in mind, there is the AI Automation Sprint: a €3,000-a-month subscription you can stop whenever you like. In the first week we map the processes and decide what to automate, from the second we build, and by the end of the month 2–3 automations are live.

Who it's for

Who it's aimed at.

Right for

  • People who spend hours copying or checking data
  • Orders, documents or requests that arrive written in different forms
  • Goals that can be measured in hours and costs

Not right for

  • Processes that change every time and have no rules
  • Anyone looking for a showcase chatbot on their website

Frequently asked questions

Common questions.

How much does an automation with artificial intelligence cost?

From €1,000 for a flow with a few steps and software that exposes APIs. Automations that read documents or messages with AI are priced by volumes and integrations, as stated in the written proposal. On top of that comes the cost of using the model, usually a few cents per document or message.

Which processes can be automated?

Frequent ones, with stable rules and information in written form: orders, delivery notes, invoices, email requests, CRM updates, reminders, reports. Processes that change every time and require judgement stay with people.

Do you use Make, Zapier or n8n?

When they are enough, yes. For critical flows or high volumes we write dedicated code. The choice depends on the process.

What happens if the AI gets it wrong?

Delicate steps require approval. The system flags uncertain cases and no relevant data enters the management system without confirmation.

Is our data used to train the AI?

No. We use the models through APIs under terms that exclude training on the data sent, with accounts registered to the company.

Do you also offer AI consulting for SMEs?

Yes, when you need to work out where to start: process analysis, priorities and a first project in production. We don't run generic courses on using ChatGPT.
